12 Compassionate Organizing Concepts Inspired By This Unusual Year

There have been many words used to describe 2020. In a recent article in The Washington Post, readers offered their one word or phrase for the year, including “exhausting, lost, chaotic, relentless, heartbreaking, transformative, and the year of missing.” Perhaps the word that I heard (and possibly used) the most was unprecedented. It was that kind of year. We tried our best to navigate the unknown, find strength when life got worse than ever imagined, extend compassion and grace to ourselves and others, and find some balance in a continually changing situation. 

It’s been a harsh year, a year of struggle. We needed love, compassion, support, and connection more than ever. With pandemic restrictions reducing in-person contact, technology played a starring role to help us virtually spend time together. I blogged and had meaningful conversations with you throughout these past months, as we experienced and worked through this year together. We shared our silver linings and losses.

Being a reflective time of year, I am revisiting the past before moving ahead to the future. As part of the review, I selected highlights, one from each month, of the most compassionate organizing concepts of 2020. My hope is you discover a seed idea that will inspire your New Year.

Are You Suffering From Continuous Partial Attention?

How we use our time each day and the behaviors we choose to adopt can produce positive or negative outcomes. In Dan Harris’ book, 10% Happier, I came across a few ideas that highlighted being more intentional with how we spend our time and where we focus our attention.

Almost two decades ago, Linda Stone, a former Apple and Microsoft executive, identified a specific phenomenon and coined the term, continuous partial attention. She describes this as paying partial attention, continuously. Stone says we’re motivated to do this because we don’t want to miss anything.  When we’re always on, constantly scanning, and on high alert, it produces an “artificial sense of constant crisis.”This phenomenon has escalated because of our increased use and availability of technology.

According to Stone, some of the outcomes that can result from regularly engaging in continuous partial attention include:

  • Having a stressful lifestyle

  • Operating in crisis management mode

  • Compromising ability to reflect, make decisions or think creatively

  • Being overwhelmed or over-stimulated

  • Feeling unfulfilled

  • Feeling a sense of powerlessness

Stone makes a distinction between continuous partial attention and multi-tasking because of the different impulse that motivates them. She believes that multi-tasking is productivity and efficiency driven, while continuous partial attention is motivated by the desire to be connected and alert to the best opportunities.

If you find that your time is being spent in the always-on mode or that your attention is continually pulled between digital devices, tasks and interactions with people, here are some strategies suggested by Linda Stone and Janice Marturano, who is founder of Institute for Mindful Leadership:

  • Establish some tech free time

  • Give your full attention to others during interactions (as in put away your phones, no typing on the computer keyboard while having conversations)

  • Designate part of your day as “interruption-free” time

  • Take a breathing break

  • Do one thing at a time

  • Take mindfulness breaks or “purposeful pauses

3 Useful Ideas to Help Increase Your Happiness

We could all use a bit more happiness in our lives, couldn’t we? While traveling recently, I noticed someone reading a Time magazine special edition, The Science of Happiness. The cover was splashed with happy-looking emojis. I finally got my hands on a copy and read it, with yellow highlighter in hand, from cover to cover. I’m generally a happy, positive person most of the time. Even so, I loved the idea of learning about the science behind happiness and the possibility of finding ways to experience even more joy.

Some researchers think that genetics are behind 50% of the variations in happiness and 10% are due to life circumstances. This is great news because it means the remaining 40% presents opportunity for you to increase your happiness. We can break that down to small, manageable parts. As author Margaret Wander Bonanno said,

“It is only possible to live happily ever after on a day-to-day basis.”

 

 

3 Ways to Help Increase Your Happiness . . .


Mindfulness

Being present, refusing to multitask, and bringing your full attention to what’s happening right now is one way to increase happiness. This can be challenging to do with so many sounds, people and thoughts vying for your attention. It requires practice, like exercising a muscle, to be mindful. One suggestion made by Emma Seppala, Ph.D. author of The Happiness Track: How to Apply the Science of Happiness to Accelerate Your Success is to take technology breaks. She suggests,

“One of the greatest ways to find joy is to spend a half-day or whole day on a technology fast. That means no screen time. None.”

 

Generosity

Doing good in the world can translate into donating money to causes and organizations we believe in. According to Michael Norton, co-author of Happy Money: The Science of Smarter Spending, bringing this idea closer to home can boost your happiness even more. He says,

“While giving to charity brings more happiness than spending money on yourself, our research finds that doing things for people you know makes you happiest.”

 

Gratitude

Have you noticed that you’ve become more grateful as you’ve aged? One study discovered that for each 10 years of life, gratitude increases by 5%. In addition, according to writer Ellen Seidman, research suggests that people who are regularly grateful, those that are actively aware of the “goodness in life and the sources of it – are generally healthier and happier.” To experience the full benefits of gratitude, you need to both feel the love, like recording your appreciation in a gratitude journal and show the love as in writing a letter (the more specific the better) to express gratitude to your friends and loved ones. Robert Emmons, Ph.D., psychology professor and author of Gratitude Works! says,

“When people are grateful, they feel more alert and alive.”

The popular “Ask the Expert” interview series connects you with dynamic industry thought leaders. This year we’ve spoken with Erin Rooney Doland about clutter, Francine Jay about letting go, Todd Henry about next steps, Dr. Debbie Grove about change, and Joshua Becker about fresh starts. For June, I’m thrilled to have with us prolific writer, speaker, and time management guru, Harold Taylor to share his expertise about time.

I’ve had the pleasure of knowing Harold for many years through one of our industry associations, the National Association of Professional Organizers (NAPO.) He’s been a frequent speaker and exhibitor at the annual conference. In 2002, I remember when he came to New York and presented his “Making Time Work for You” workshop for the NAPO-NY chapter professional development series. I still have the fabulous handouts with a great Harold quote that says,

You cannot manage time; but if you manage yourself wisely in the time at your disposal,
time will work for you.

Linda Samuels: As time management consultant, speaker, author, and trainer, you’ve been helping others manage their time and lives for almost 40 years. In what ways do the time challenges we had decades ago differ from now?

Harold Taylor:  There is a greater need than ever for time management because of the increasing speed, complexity and distractions of today’s environment. We are working faster, driving faster, communicating faster, eating faster – in short, we’re living faster.

In addition to time problems introduced by the latest technology, such as increased choices, incessant interruptions, unrealistic expectations and concomitant stress, our bodies are not designed to operate at warp speed and we are faced with a variety of ailments to the point that “keeping well” has become another time consumer.

We now have a longer lifespan than any previous generation, yet about a third of us claim we do not have enough time. Technology allows us to quickly dispense with trivial and low-priority activities so we are able to take on more trivial and low-priority activities. The emphasis has been on doing things faster but relatively little emphasis on working smarter.

For example, email is faster than writing or typing letters but we send and receive more messages. Some people in my workshops claim to receive hundreds of emails in a day. Since the line between work and personal time has been eliminated, people answer email and phone calls during lunch hours, text message while driving and watch videos during a son’s baseball game. We are allowing technology to control us rather than the other way around.

Linda:  For those that are especially challenged with time management, what strategies are most effective?

Harold: The most effective strategies in this digital age of speed are to work with purpose, plans and priorities. Most people resist prioritizing because they want to do it all. The consequences include unhealthy and inefficient attempts at multitasking, working longer hours, and cutting back on sleep.

We have to accept the fact that we can’t do everything, and establish a set of personal policies (which identify our values), set specific goals, and schedule appointments with ourselves to actually get the work done. This requires the use of an appropriate planner, a lot of self-discipline, and the commitment to regain control of our time.

Linda:  Can you describe your “holistic time management” approach to living and some of the benefits?

Harold:  I define holistic time management as “applying the strategies necessary to lead a happier, healthier, longer, more productive and fulfilling life.”  It is based on my belief that rather than trying to get more things done in our lifetime through efficiency, it would be more rewarding to focus on extending our lifetime. Not only would we get more done (even if we did nothing to increase our efficiency) we would have more time to enjoy whatever life had to offer.

The major topics covered in a workshop on holistic time management fall neatly into an acronym that spells out the word HOLISTIC – Health;Organization; Lifestyle; Internal body time;Spirituality; Time use; Interpersonal relationships and Cognitive skills. These all impact our longevity as well as our time management.

Linda:  What has been your toughest personal time management challenge?

Harold: My toughest personal time management challenge as I get older is not to become an “activity packrat,” crowding more activities into an already busy schedule without getting rid of other activities in the process. I think this is more difficult as you age since you can finally see the top surface of the sand in the hourglass.

Linda:  Do you have a time management philosophy or mantra?

Harold: I’m not sure if it’s a philosophy or mantra, but I do believe we should never regret having squandered time in the past; because even squandering can be enjoyable, and there are lessons learned, personal growth or other value in everything we have done or not done in the past. And we can’t change it anyway.

Linda:  If you found yourself with an unexpected extra hour on a particular day, how would you spend that time?

Harold: If I found myself with an unexpected hour on a particular day, I hope I would either spend the time doing more of whatever I was doing at the time - or wondering whether I had missed putting the clock ahead in the spring.

Harold, there are so many ideas here that resonate with me like the effect technology has had- how we manage or don’t manage our time. I love the clarity of your message that we need to “accept the fact that we can’t do everything, ” and the that “squandering [time] can be enjoyable.” I also never heard the term “activity packrat.” It’s an interesting concept to consider that our schedules can become just as cluttered as our spaces if we’re not aware.
